Privacy Policy

This policy explains what information File My Bills accesses, what it does with that information, and — importantly — what leaves your Mac and under what circumstances.

The short version

File My Bills is a local Mac application. Your bills, your email credentials, and your financial records are processed on your device and are not sent to us. The one exception is if you choose to use the optional Anthropic API for classification — in that case, bill text is sent to Anthropic's servers using your own API key, under your Anthropic account. That opt-in is explicit and covered in detail below.

Information the app accesses

iCloud Mail

File My Bills connects to your iCloud Mail account via IMAP to scan for bills and invoices. It reads email headers and message bodies to identify billing-related messages. It does not delete, move, flag, or modify any emails. Your iCloud Mail password is stored in the macOS Keychain — the same encrypted credential store used by Safari and Apple Mail — and is never transmitted to any server we operate.

Your file system

PDFs are saved to a folder you choose during setup. The app reads and writes only within that folder and its own sandboxed app container. No other part of your file system is accessed.

App usage data

The current version of File My Bills does not collect analytics or usage data. We plan to introduce opt-in, privacy-preserving analytics in a future update to help us understand how the app is used and where we can improve it. When that changes, we will update this policy, describe exactly what is collected, and provide a clear opt-out. No analytics are active at this time.

What we do not collect

We do not collect, receive, or store: your email contents, your bill data, vendor names, amounts, account numbers, property details, or any personally identifying information. File My Bills has no backend server, no user accounts, and no telemetry pipeline. We have no visibility into what you file.

AI classification

On-device classification (default)

By default, bill classification is performed by a local AI model running entirely on your Mac. Bill content is processed on-device and nothing is transmitted. This is the default and requires no configuration.

Anthropic API classification (optional — your data goes to Anthropic)

File My Bills includes an optional setting (Settings → Classification → Anthropic API) that sends bill text to the Anthropic API for classification. If you enable this option, text extracted from your bills — which may include vendor names, invoice amounts, account references, and other financial details — is transmitted to Anthropic's servers.

This is opt-in and requires you to supply your own Anthropic API key. File My Bills sends requests directly from your Mac to Anthropic using your key — we do not proxy or intercept these requests. The data you transmit is subject to Anthropic's privacy policy and their API data handling terms. We recommend reviewing those before enabling this option.

You can switch back to on-device classification at any time in Settings.

This website

filemybills.com is a static site hosted on GitHub Pages (GitHub, Inc., a Microsoft company). Standard web server logs — IP address, request path, browser type, timestamp — are retained by GitHub per their infrastructure policies. We do not run additional analytics on this website at this time.

Data retention and deletion

All data created by File My Bills — the bill database, scan history, filed PDFs — exists on your Mac. Deleting the app and its data container removes it entirely. We hold no copies and cannot recover deleted data on your behalf.

Children

File My Bills is not directed at children under 13 and does not knowingly collect information from children.

Changes to this policy

If this policy changes materially — particularly if analytics are introduced — we will update the date above and describe the change clearly. Continued use of the app after a policy update constitutes acceptance of the revised terms.
